This chapter explores how Workday is evolving the user experience with AI, automation, and interoperability. We’ll cover the following key capabilities:
Workday Assistant enables users to find answers and complete tasks using natural language, reducing the need for manual navigation. This conversational AI streamlines interactions across Workday, making it faster and easier to get things done.
Workday Guidance proactively delivers in-the-moment recommendations and insights based on context and user behavior, helping employees and managers take the right actions at the right time.
Workday Everywhere integrates Workday into the natural flow of work by bringing key tasks and insights directly into Microsoft Teams and Slack. This allows employees to stay productive without switching between applications.

Workday Assistant: Enhancing productivity and collaboration with AI assistance.
Workday Assistant has evolved far beyond its origins as a chatbot. Today, it leverages AI to help employees and managers quickly find information, complete tasks, and navigate Workday with ease. By understanding the context of a user’s request, Workday Assistant can surface the right insights, guide users through processes, and reduce friction in everyday workflows.
Workday Assistant is the primary way users engage with AI within Workday. Whether accessing it in the browser, mobile app, or through Workday Everywhere in Microsoft Teams and Slack, employees can use natural language to ask for assistance, access reports, update records, and take action in the flow of work.
With AI-driven search, task recommendations, and automation, Workday Assistant makes work more intuitive and efficient at scale. It continuously learns from user interactions, ensuring that employees and managers get relevant and personalized support—whether they’re checking team availability, requesting time off, or approving expenses.

Workday Guidance: Navigating complex tasks with custom guidance.
Workday Guidance improves productivity with digital adoption tools.
For executives and HR leaders, productivity is the top driver of tech spending. Organizations provide employees with many different productivity tools, but getting them to use them consistently can be challenging. Many employees also only occasionally need to complete complex, business-critical tasks. However, this irregular usage pattern can lead to unfamiliarity with the process steps, increasing the time it takes to complete them.
Workday Guidance provides the basis for digital adoption. It enables administrators to deliver step-by-step instructions for complex tasks. It directly addresses employee questions as needed in the context of their workflow and their organization’s rules, significantly reducing the number of HR tickets and calls. Workday Guidance is being used to guide people through the steps for more than 1,000 business processes. You can view the sample library here.

Think of Workday Guidance as a GPS for navigating the Workday platform based on each organization’s rules and processes.
Contextual help recognizes and provides relevant guidance based on a user’s current task and where they are within Workday processes. For example, when someone submits an expense report, Workday Guidance can offer tips on categorizing expenses or attaching receipts according to geographically local rules and regulations.
Interactive walk-throughs guide people through complex processes by highlighting key steps and providing clear step-by-step instructions.
Personalized recommendations provide suggestions based on a person’s role, location, and past activities, such as providing relevant training courses or reminding a manager about upcoming performance reviews.
A comprehensive knowledge base enables employees to quickly access specific articles and FAQs to answer their questions.
Workday Guidance in action.
Workday Guidance can create custom, role-based, in-application help and guidance for your specific workforce, policies, and procedures. Employees and managers get a productivity boost for business processes and tasks from the routine to the unexpected. Customers use Workday Guidance to deliver field-level help in business processes/tasks encouraging user adoption and maximizing the value of their investment.
- New employees can get step-by-step guidance for completing onboarding tasks such as setting up direct deposit and enrolling in benefits.
- Managers can get guidance on providing constructive feedback when submitting their team’s performance reviews.
- Employees can get help categorizing expenses and attaching receipts when submitting an expense report.
- Finance teams can get guidance on generating financial reports or analyzing budget variances while working in the system.
I would recommend adopting Workday Guidance. If someone does not pick up this functionality, they are missing out pretty heavily. It goes well beyond just business processes, where help text can be easily missed, and expands into areas we could not previously build out instruction for.

Workday Guidance simplifies task completion by providing step-by-step assistance and field-level support. With contextual guidance and direct access to knowledge articles, employees can complete tasks faster, reducing the need for support tickets. Workday Guidance also integrates seamlessly with Workday Help, streamlining case creation and deflection for end users. If additional help is required, users can conveniently create a case directly from a QuickTip, saving valuable time.
Meeting people in the flow of work.
Workday Everywhere: Seamless integration into daily workflows.
Most organizations provide hundreds of applications for employees to complete their jobs efficiently. Some apps are used every few minutes, some once a quarter. How are people supposed to manage the plethora of interfaces, data formats, and naming conventions necessary to stay on task? Is it possible to make it easy to work within one application interface while accessing data and workflows from numerous others?
Workday is one of hundreds of applications that employees already use. We want to meet people in the natural flow of their work. So, we have partnered with some of the best and most commonly used collaboration applications, such as Microsoft Teams and Slack. We’re also expanding our integrations into Salesforce.
Workday Everywhere bridges data and UX to bring everyday Workday functionality into these applications. In Microsoft Teams and Slack, employees can submit time off requests, provide feedback and recognition to coworkers, and view payslips. They can even interact with Workday Assistant to ask questions, for example, about what required learning courses are due for completion—without leaving the Slack or Microsoft Teams interface.
With conversational experiences from Workday Assistant integrated within Microsoft Teams and Slack, people can leverage natural language to uncover accurate and personalized recommendations from Workday powered by AI, bolstering the employee experience across moments that matter. For example, someone could type, “Submit a time off request for tomorrow” into Slack or Microsoft Teams, and Workday Assistant would guide them through the process. Workday Everywhere understands how to tailor the experience to individual people’s roles, locations, languages, and preferences.

Workday Everywhere empowers employees and managers.
Workday Everywhere provides real-time notifications within connected applications, empowering employees with the up-to-date information they need to complete tasks on time. They can ask Workday Assistant to guide them through the steps and help them learn about company policies without leaving their favorite collaboration tool. Managers get instant access to their team’s time off schedules, key dates such as work anniversaries in the team, feedback received by their team members, learning enrollment requests, submitted expenses, and many other commonly accessed HR tasks and details without switching among applications. The improvements are noteworthy:
- Notifications in Workday Everywhere have led to a 2x completion rate of manager approvals for various processes
- Notifications improved time to approvals by 1.5x, saving almost a day on average

Workday Everywhere delivers immediate value with no lengthy setups. It is an integration that Workday has built and maintains, so you can configure it quickly. It’s also already included in your HCM subscription, with no hidden or additional costs. Workday enterprise-grade security and privacy standards provide the same level of protection for data from connected applications.

Frontiers

Future integrations with Microsoft 365 Copilot and Salesforce.
Integrating Workday HCM with Microsoft 365 Copilot and Salesforce will enable people to access Workday data directly within Microsoft 365 Copilot or Salesforce with AI assistance at their fingertips. This will help them find and complete tasks efficiently, reduce complexities, and automate workflows.
The upcoming Workday Agent in Microsoft 365 Copilot will bring even more automation and efficiency to everyday processes. Managers and employees will get snapshots of key events for the upcoming week and time-sensitive tasks. Before heading into a performance review check-in with a team member, a natural-language conversation with the Workday Agent in Microsoft 365 Copilot, while staying in Microsoft Teams, will provide managers with summarized insights into information from Workday, such as their team members’ goals, skills, completed learnings, and progress from one-on-one meeting notes—stored in Microsoft Word, for example—right at their fingertips.
Employees, customers, and financials are any business’s three most fundamental elements. Salesforce and Workday envision creating a unified data foundation by combining the most powerful datasets in business—HR, financial, and CRM data. By integrating our platforms and powerful AI capabilities, we aim to deliver exceptional employee experiences across Salesforce and Workday with relevant, conversational responses to employee queries.
For example, you can query across CRM and HR platforms to analyze how sales data relates to human resources. Imagine needing to know how to improve your team’s performance and how your team is set up to deliver against forecasted pipeline demand signals. Within Workday, you can ask the Workday Assistant about sales data from CRM. The Workday Assistant can quickly provide that information and make recommendations, helping you stay informed and make timely decisions. On the other hand, within Salesforce, you could interact with Agentforce to ask for tips on closing a deal.

Mobile: Empowering the deskless and on-the-go workforce.
Everyone uses mobile devices to work, communicate, and play. People expect the applications they use for work to be made for mobile so they can use an interface they’re familiar with and access quick action tasks. Today, office workers are doing more work than ever on the go, and the deskless workforce population will only grow with the further proliferation of mobile devices. All types of employees like and expect the convenience of mobile access to their HR and financial data. Employers must respect that requirement or face the attrition of their most valuable resource.
To support an increasingly distributed workforce, the Workday mobile application makes completing HR and financial tasks easy for employees with or without desktop web browsers and computer access. Unsurprisingly, mobile app usage is growing 50% faster than web usage for Workday services.
Overview of mobile capabilities.
With the Workday mobile app, employees can manage tasks, connect with experts on projects, access essential company announcements, and pursue career development opportunities—anytime, anywhere. For example:
Expense reporting accepts a picture of a receipt from a smartphone camera and automatically extracts the relevant information, such as the date, amount, and vendor
Time tracking lets employees clock in and out with a single tap and has the added benefit of geofencing capabilities
Benefits enrollment makes it easy for employees to choose, change, and enroll in their benefits from any of their devices
Employees can access learning courses on the go, allowing them to learn at their own pace and convenience
Update skills and access internal job opportunities, give feedback to others, and complete performance reviews

Key features for people on the go.
The Workday mobile app has over 8.8 million monthly active users and is growing 1.8x faster than desktop (five-year average). Most users are deskless workers in the retail, hospitality, healthcare, and manufacturing industries, but desk workers on the go are looking to mobile to be productive wherever they are, too. For these employees, the app is more than just a tool—it’s a primary or essential gateway to getting work done. Therefore, it’s critical that the experience be seamless, intuitive, and efficient.
Because connectivity can be an issue for mobile workers, the Workday mobile app provides offline access to key features and data so employees can complete key tasks, such as clocking in and out, without connectivity.
Mobile-dependent employees can rely on secure access to the apps they use the most in their daily workflows, right from their personal smartphone or tablet, allowing them to:
- Access time tracking and attendance
- Schedule shifts
- Manage tasks
- Approve requests and transactions
- Onboard new hires
- View and manage personal information
- Access payslips
- Complete performance reviews
- View coworkers’ profiles
- Capture receipts, enter expenses, and approve expense reports

Workday continuously enhances the usability of our mobile app by improving performance and responsiveness, simplifying navigation and search with AI assistance, adding accessibility features, and providing a customizable home screen. For example:
- Push notifications, offline access, and quick actions for managers make the mobile app a pleasure to use daily
- Biometric login ensures quick and secure access for all workers
Viewing real-time payslip information is now 30% faster on the Workday mobile app. Workday uses WebView technology to unlock mobile features faster alongside our bespoke experiences. By rapidly expanding our mobile capabilities, we’re delivering more features in a shorter time frame while maintaining an excellent quality of experience.
Our roadmap for mobile includes developing bespoke experiences for key tasks and using WebView experiences to bring more tasks to mobile. In addition, we tap OS capabilities to ensure our app is using the most up-to-date technology.

AI enhancements on mobile.
Mobile is leveraging the power of AI to create a top-tier, intuitive experience tailored to the needs of today’s mobile-dependent workforce. By using AI to personalize content recommendations, proactively surface relevant information, and automate routine tasks, Workday empowers users to be more productive.
Our AI enhancements focus on deskless workers and allow effortless navigation and task completion, enabling employees to focus on their core duties. Our AI capabilities roadmap includes improved search so employees can instantly find what they need with our redesigned mobile search experience. We’ve redesigned the interface with a new look and intuitive information architecture, making navigating and finding what you’re looking for easier than ever.

We’re also introducing Intelligent Answers, an AI-powered search feature that understands the intent behind your query and provides direct answers—so no more sifting through lengthy articles to find the information you need right now.
For example, the Workday Assistant feature helps workers understand their payslips more easily. They can get instant answers to questions such as, “Why was my pay lower this week?” or “How much did I pay in taxes last month?” This empowers employees to take control of their finances, understand pay, and plan confidently.
Along with Workday Assistant, we are also making many AI features available for mobile devices, such as automating forms—using AI OCR to scan and automatically populate fields from receipts into expenses—providing proactive alerts for deadlines, intelligent notifications, skills matching, and development recommendations.
We will continue to refine and expand our mobile AI capabilities as we move into the future. The Workday mobile product teams are evaluating and measuring data to understand what is next for mobile AI.
Security to protect mobile workers’ data.
Workday leverages industry-leading security practices and technologies to protect user data and privacy on the Workday mobile app. These include mobile OS device-level security, such as biometric authentication or PIN codes, encryption of data in travel and at rest, network access security, and no data stored on the device. Workday app developers adhere to the Secure Software Development Life Cycle (SSDLC) and DevSecOps accountability practices.

Quick actions on the home page: We are introducing quick actions, a collection of links at the top of the home page that enables employees to access their most frequent and common destinations and tasks quickly. Contextual links in hubs: Customers can surface additional links and actions within hubs, tailored to each hub’s specific context. This functionality further streamlines how employees find, navigate, and complete tasks.
